PRAZ registration is not the hard part — staying eligible is

Registering with PRAZ takes weeks. Losing eligibility takes one lapsed return. The failures we see are almost never in the bid itself.

Companies come to us after a rejection, convinced the problem was their pricing or their technical response. It usually was not. A bid that never reaches evaluation was not beaten — it was screened out, and the screening happens against your compliance standing rather than your submission.

Registration is a one-off. Standing is continuous.

Getting registered with the Procurement Regulatory Authority of Zimbabwe is a finite, well-defined task. Staying eligible to bid is an ongoing obligation that quietly resets every year, and it is the second one that catches companies out.

The pattern is consistent: a company registers properly, wins nothing for two quarters, lets the administrative work slide while it chases revenue, and then finds the one tender it was built for is closed to it on a technicality.

What actually causes the screen-out

Lapsed registration. Renewal dates do not announce themselves. If nobody owns the date, it passes.

NSSA arrears. Social security standing is checked. An arrangement to pay is not the same as being current, and the distinction matters at screening.

Tax clearance that expired mid-tender. Valid when you started the response, expired by the submission deadline. This one is entirely avoidable and we see it constantly.

Category mismatch. Registered in a category that does not cover the work being tendered. Perfectly compliant, and still ineligible.

Directorship and shareholding out of date. The registry has to match reality. A director who left two years ago and is still on file is a discrepancy, and discrepancies get flagged.

The pattern underneath all of them

None of these are difficult problems. Every one is a calendar problem — an obligation with a date attached that nobody was accountable for.

The companies that bid successfully are not the ones with better compliance knowledge. They are the ones where somebody owns the dates.

What we actually do

Our onboarding starts with a compliance health-check across registration, tax, PRAZ standing and NSSA — not because it is billable, but because it tells us whether you are currently eligible for the work you are planning to chase. Roughly half the time the answer surprises the client.

From there it is unglamorous and continuous: bookkeeping and management accounts on schedule, corporate tax returns filed on time, renewals tracked before they bite, and an independent audit that stands up at a bank or a tender board without qualification.
